Writing a great job description for the AI

The quality of your proposal is directly tied to the quality of your job description. The AI can only work with what you give it. Here's how to give it enough to create something excellent.

What to include

  • Client's full name
  • Property address
  • Exactly what work needs to be done
  • Materials or brands if specified
  • Any exclusions or things you won't be doing
  • Your price or price range
  • Timeline or start date if discussed
  • Payment terms if you have standard ones

Examples by trade

Plumbing

"Replace water heater for Sarah Johnson at 455 Oak Ave. Remove existing 40-gallon electric unit, install new Rheem 50-gallon gas water heater. Includes all connections, pressure relief valve, and permit. $1,200 total, 50% deposit required."

Electrical

"Install EV charger for Mike Davis at 88 Pine St. Run 60-amp circuit from panel to garage, install 240V NEMA 14-50 outlet and Level 2 charger mount. Panel is 200-amp main. $900, payment due on completion."

HVAC

"Replace HVAC system for Tom Richards at 1200 Elm Drive. Remove old 3-ton Carrier system (approx 15 years old), install new Lennox 3-ton 16 SEER system, includes coil, air handler, and thermostat. $6,800. Permit pulled by us. 3-day job."

Roofing

"Reroof 1,800 sq ft home for Linda Chen at 302 Maple Ct. Tear off existing 2 layers, install 30-year architectural shingles (Owens Corning), new felt, drip edge, and ridge cap. Includes debris removal. $9,500."

Tip: If you discussed something with the client verbally — a warranty, a start date, what's NOT included — put it in the description. The AI will include it in the proposal, which protects you later.

What not to worry about

You don't need to write in complete sentences or use formal language. The AI converts your notes into professional language. Just focus on getting the facts down.
