Proposal approval workflow

How the review and approval process works for proposals created by team members.

When team members create proposals, you can require approval before those proposals are sent to clients. This keeps quality consistent and prevents mistakes.

Enabling approval workflow

Go to Settings → Team → Proposal Approval and toggle on "Require approval before sending". Only Admins can send proposals without approval.

How the workflow works

  1. 1A team member creates a proposal and submits it for approval.
  2. 2Admins receive a notification that a proposal needs review.
  3. 3The Admin reviews the proposal, makes any edits, and approves or rejects it.
  4. 4If approved, the proposal can be sent. If rejected, the team member is notified with feedback.

Reviewing proposals as an Admin

Proposals awaiting approval appear with a "Needs Review" badge in your dashboard. Click into any proposal to review it, make edits, and approve or send back with comments.

Tip: If you're a solo operator who also uses BidCraft on your phone and desktop, the approval workflow might not be needed. It's most useful when you have employees or subcontractors creating proposals.
